Common Questions

What is PerfectPotluck.com?

PerfectPotluck.com is a free online tool that makes coordinating group meals and events easier.

Anybody can quickly create a customized online sign up sheet and invite friends and family to participate. As coordinator, you name the categories on your sheet, so whether it’s food, drinks, supplies or volunteers, it’s easy to plan.

Is PerfectPotluck.com a free service?

Yes, absolutely free! Use it often and tell your family, friends and co-workers about it.

Do I need to create an account to use PerfectPotluck.com?

No. People who sign up on a sheet never create an account. All anyone needs is the direct link (it looks like perfectpotluck.net/ABCD1234), or the coordinator’s last name and the potluck password.

Only the coordinator has a password, the admin password, which unlocks the tools for editing the sheet.

Is my information secure?

Yes, we value your privacy. Sign up sheets aren’t listed or searchable, and participants’ phone numbers are only visible to the coordinator. For more information, see our privacy policy.

Do you send a lot of emails?
  • The coordinator gets a confirmation email when the sheet is created.
  • Participants get a quick “you’re signed up” email, and a reminder before the event (two days before, unless the coordinator changes it).
  • Invitations and updates are only sent when the coordinator (or a friend) sends them.
Who created and maintains PerfectPotluck.com?

Adina Bailey and Scott Rogers, in Harrisonburg, Virginia, the same team behind TakeThemAMeal.com. Read our story.

Coordinator Questions: Getting Started

I haven’t ever done this. How do I get started?

Click Create a Group Meal. You’ll see a one-page form: name your event, pick the date and place, list what you need, and add your contact info and an admin password. That’s it! You’ll land on your new sign up sheet with a link to share.

How does your website work without requiring me to create an account?

As coordinator, you’re recognized by the email address you use. Once you’ve created more than one group meal, log in on any of them and choose All my group meals in the yellow coordinator bar to see them all.

When you use the same email again, people you invited before are offered to you again on the Invite friends page.

Why do I need to fill out my coordinator information each time I create a schedule?

We don’t use accounts, so everyone gets in easily. Your group meals are linked by your email address. Tip: use Copy this group meal (under All my group meals) to start a new one with your details and categories already filled in.

Can I copy a previous PerfectPotluck.com schedule?

Yes! Log in as coordinator on the group meal you want to copy, open All my group meals in the yellow coordinator bar, and choose Copy this group meal into a new one. Your details and categories carry over; just pick a new date and admin password.

Can I use PerfectPotluck.com for a series of events?

Yes. Use the same potluck password for each sign up sheet. When someone searches with your last name and that password, they’ll see a list of all your active sheets and can pick the one they want.

Can you help me plan the portions needed for a group meal?

Yes. Our potluck calculator suggests how many appetizers, main dishes, sides, breads, desserts and drinks to ask for based on your guest count. It’s also built into the create form: tap your number of guests and the amounts fill in.

How do I know how many people are attending?

There isn’t a separate RSVP feature, but many coordinators add a category called “RSVP” and ask people to sign up there and say how many are coming in the “What I’ll bring” box.

How do I view all my schedules (even older, deactivated schedules)?

Log in as coordinator on any of your group meals and choose All my group meals in the yellow coordinator bar. You’ll see every group meal created with your coordinator email, including ones that are turned off.

Coordinator Questions: Inviting Others

How do I invite friends to participate?

Use the Invite friends button on your sign up sheet. You can:

  • Send by email: paste addresses (separated by commas, spaces or new lines) and add an optional personal note.
  • Text it: on a phone, send the link by text message.
  • Copy the link and paste it anywhere: your own email, a group chat, a newsletter.

You can also just tell people about it. Give them the link, or your last name and the potluck password.

Do I have to enter the email addresses into the ‘Invite Friends’ tool?

No. Some coordinators send an invitation only to themselves and forward it from their own email, or just share the link.

When are the ‘Invite Friends’ invitations sent?

Right away. Some email providers delay messages to fight spam, so it can take anywhere from a few minutes to a few hours to arrive.

How do I invite friends I’ve invited to previous schedules?

If you used the same coordinator email before, the Invite friends page lists the people you invited to your past group meals. Check the boxes and send.

I think invitations aren’t getting through to friends. What should I do?

Send an invitation to yourself and forward it from your own email. If your friends normally get your emails, they’ll get this one. You can also copy your link and text it.

How do I include participants who don’t have a computer?

As coordinator you can always sign people up yourself. When you’re logged in, the name and email are optional, so you can fill a spot for someone who called you.

How do I invite friends using Facebook?

Open Invite friends and choose Share on Facebook to post it on your timeline, in a group, an event or a message. Keep in mind that anyone who can see that post can open the sign up sheet.

Coordinator Questions: Edit Schedule and Update Contact Information

Oops! I’ve forgotten my administrative password. What should I do?

No problem. Try logging in on your sign up sheet. If the password is wrong, choose Email the coordinator a link to reset it and we’ll send a reset link to your coordinator email.

Or email us at help@perfectpotluck.com and we’ll help.

Some of my event’s details are incorrect or have changed. Help!

Log in under Are you the coordinator? on your sign up sheet, choose Edit details & categories, make your changes and tap Save changes. Want to let everyone know? Use Send emails.

I typed my own email address incorrectly when creating the schedule. How do I fix this?

You can still fix it. Open your sign up sheet, log in with your admin password, choose Edit details & categories, correct your email and save.

Why isn’t a Google map link appearing on my schedule?

The map link appears when there’s a street address. Edit your group meal and add the address (or check outside the U.S. and type the full address). If Google can’t find it, add directions to your notes.

Why can’t I change the name of my category?

Once someone signs up in a category, its name stays put. That way nobody who signed up for “Dessert” is surprised to find themselves under “Salads.” You can still change the note, add spots, and move the category up or down.

Can I add more categories after the schedule is created?

Yes! Choose Edit details & categories, tap + Add a category, and save. Use the ↑ ↓ arrows to put categories in any order, even after people have signed up.

Need just one more spot? On the sign up sheet itself, tap + Add a spot under any category.

After I create my schedule, how do I communicate with my participants about my event?

Use Send emails in the coordinator bar. Choose who to write to (everyone who signed up, everyone invited, or people invited who haven’t signed up yet), write your message, and send. Replies come straight to you. (We can only reach people who left an email address or were invited by email.)

Someone accidentally changed information on my schedule. Can I make editing only available to me?

Yes. Open Settings in the coordinator bar and turn off Let everyone change or remove sign ups. People can still sign up, and can still change their own entry from the device they used, but only you can change anyone else’s.

How do I end (disable) my schedule?

Open Settings and choose Turn off group meal. The sheet disappears for everyone and reminders stop. We’ll email you a link to turn it back on anytime.

Participant Questions: General Questions

Help! I can’t find the schedule. I’ve forgotten my user password. What should I do?

Participant Questions: How to Sign Up or Edit My Entry

How do I sign up on the schedule?

Find a category with an open spot and tap Sign up. Add your name, email and what you’re bringing, then tap Sign me up! Your name appears right away, and we’ll email you a confirmation.

All the sign-ups are taken. What should I do?

The coordinator chooses how many spots each category has. If a category says All filled ✓, try another category or contact the coordinator (their name is at the top of the sheet).

How do I edit or remove my existing sign-up on the schedule?

Tap Change next to your sign up to update it, or Remove to give up the spot. Sign ups you made on this device are highlighted with a “you” tag.

I cannot edit or remove my entry. Help!

Some coordinators prefer that changes go through them. If you don’t see Change or Remove next to your name, you may be on a different device than the one you signed up with. Contact the coordinator, whose name is at the top of the sign up sheet.

Participant Questions: Reminders

Will all participants be reminded of the event?

Everyone who enters an email address when they sign up gets a reminder before the event (two days before, unless the coordinator chose a different timing).

Why am I not receiving the reminder email?
  • We can only remind people who left an email address when signing up.
  • There may be a typo in the email, or you signed up after reminders went out.
  • Some email providers wrongly flag reminders as spam. Check your spam or promotions folder.
